A business email like you@yourbusiness.com or sales@yourbusiness.co.ke looks more professional than a free Gmail or Yahoo address, and customers trust it more. But the address is only half the job. If the email isn't set up properly, your quotes and invoices land in spam. I set up business email correctly from the start, or fix it if it's already giving you trouble.
Business email options I set up
| Option | Best for |
|---|---|
| Google Workspace | Teams that like Gmail, Google Drive, Meet and shared calendars |
| Microsoft 365 | Teams that use Outlook, Word, Excel and Teams |
| Zoho Mail | Small teams wanting a lower-cost business suite |
| Email included with hosting (cPanel) | Small businesses that need a few addresses on a tight budget |
I'll recommend the right option for your team's size, budget and the tools you already use.
What my business email setup includes
- Domain check: confirming who controls your domain and DNS, and recovering access if needed. See domain registration.
- Mailbox creation: personal addresses for staff and shared ones like info@, sales@, accounts@ and support@.
- Deliverability records: SPF, DKIM and DMARC, so Gmail, Outlook and others trust your emails and don't mark them as spam.
- Device setup: email on phones, laptops, Outlook and the Gmail app, with clear instructions for your team.
- Migration: moving old emails, contacts and calendars from your previous provider without losing anything.
- Website forms: making sure your website contact forms send reliably and don't end up in spam. See website support.
- Signatures: consistent, professional email signatures for your whole team.
Why are my emails going to spam?
This is the most common problem I fix. Usually it's because SPF, DKIM or DMARC records are missing or wrong, the domain is on a blocklist, or the website and email share a poorly configured server. Since 2024, Google and Yahoo require proper authentication from bulk senders, and even small businesses are affected when records are missing. I check your setup, fix the records and test delivery to major inboxes.
Google explains the requirements in its email sender guidelines.
Ongoing email support
Adding or removing staff, resetting passwords, recovering accounts and fixing sending problems can be part of a maintenance plan, so you always have someone to call.
Need a website too?
Email and websites work best when they're planned together. I can build your business website, set up hosting and configure email in one project.
